You are an educator or just in training to become an educator and now you want to write an application to become an educator? No problem! Because in this article, we will now go step by step and create a powerful and serious application with which you will shine as an educator.
You often hear about the shortage of skilled workers and that educators are wanted everywhere. That is absolutely correct and true. But if we take a closer look at this statement, it quickly becomes clear that it is unfortunately not that simple. It depends on the region where you live. One’s own interests and pedagogical preferences also play a role. If, as an educator, I am inclined toward Waldorf education, job offers with a religious daycare provider probably make little sense. Also, daycare centers are always different in terms of leadership, equipment as well as employee satisfaction. In addition, there are different salary offers, even at municipal and denominational institutions that pay according to collective agreements. Because here, too, different groupings and allowances are possible depending on the job advertisement.
In short, it can be said that there are, of course, many vacancies as an educator. However, the desired position is usually contested by several applications, which is logical and understandable.
How do I write an application?
Let’s jump right in and clarify the question of how I write an application. To do this, we need to roughly distinguish between three different scenarios:
- Application for the training as an educator
- Application during the training
- Application for state. certified educator
Application for the training as an educator
In the first case, we would like to become a kindergarten teacher and are now looking for both a specialized school for social pedagogy and an internship for the daycare center. Likewise, there is also still the possibility to go the way of the PIA (practice-integrated remunerated training) or to obtain a degree via a study of early childhood education. What they all have in common is that an internship position is a requirement. So in this case, you will have to take care of two applications at the same time.
At the Fachschule für Sozialpädagogik and the Hochschule, you usually have to submit a letter of motivation as well as the usual documents such as a curriculum vitae, photo and certificates, with which you can prove that you meet the relevant admission requirements.
For the practical placement, it depends on whether you want to go the route of traditional educator training or start the practice-integrated training. In the classic path, your, I’ll call it your main contractual partner, is the technical school. You will then also receive the internship contract for the internship site. If you go via the PIA, your practice site is your employer and accordingly you conclude an employment contract there.
Students majoring in Early Childhood Education or Early Childhood Education are a special case. These require an internship site to accumulate the required practice units. These are usually divided into regular weekdays as well as several block internships. However, like everything these days, this is always dependent on the particular university.
Application during training / studies
In the second case, you are already in training to become an educator and would now like to apply for a position for the final year of training or for your first job as a newly qualified state-certified educator. Often, you will have to apply to practice facilities several times during your traditional training. For example, I am completing the educator training program part-time and accordingly have to complete three years of school as well as one year of recognition internship. This means three different practice sites as well as an additional fourth practice site in case of a further change during the recognition year. Graduates of the PIA training do not have to complete a year of recognition and therefore apply for advertised educator positions in the third year of training. However, since these applications are very similar to those of the other forms of training, the application process of classic and PIA is summarized here.
Application for state. certified educator
In the third case, you are already a state-owned company. recognized educator and would now like to apply for a new job as an educator. Of course, there is the possibility of applying for an advertised position or a speculative application. In this case, it is extremely important to refer to your previous experience and further training. Particularly in larger cities, skilled workers such as kindergarten teachers and childcare workers are in short supply. Therefore, applications there are mostly “pro forma” and most things are clarified beforehand in a nice conversation. Nevertheless, as mentioned above, the “good” and requested Kitas have corresponding applications on the table and also do not take “everyone”. Accordingly, you should not show any nakedness when applying for a job and do the whole thing with appropriate care and responsibility. With appropriate ideas and suggestions, this is quickly created.
We separate these three areas for you throughout this article, so that you can always read at the point that concerns you at the moment. From my point of view, the distinction is very important, because depending on your experience and position, you should create the application with different emphasis. But more on that in a moment.
What do I write in a job application as an educator?
Now that we have identified the three possible scenarios, the next step is, of course, the content of the application. After all, we want to get a training position or a place in our dream daycare center. We now need numerous documents, which you should prepare now. These would include:
- Passport photo (preferably digital on PC)
- Certificates (certificate of recognition, annual reports, half-yearly reports of the training)
- Interim appraisals, annual appraisals, other professional evidence.
- Continuing education certificates
- Additional qualifications
Of course, your PC should not be missing either. At the end of the article you can find my templates to download. Use this as inspiration for your own application or rebuild it accordingly.
Now many of you will say, wait a minute. You no longer have to add photos and often they are not requested. This is correct in principle, because according to §1 AGG (“to prevent or eliminate discrimination on the grounds of racial or ethnic origin, gender, religion or belief, disability, age or sexual identity”), required application photos are unreliable. However, I recommend that you include a photo with your resume. A photo is worth a thousand words and it can be a very good door opener for you. At the latest at the job interview we see each other anyway and let’s be honest; we don’t want to work for someone who rejects us because of a photo.
First case | Application for training as an educator
You are currently in school and now want to start an apprenticeship as an educator or you are already in the working world and now want to change to the profession of an educator. You may also want to study and pursue a degree in early childhood education. In these cases, you will need to double track and apply to two different areas:
Application to a technical college / university
Here, it is best to check the website of the institution / university to see what exactly is required of you and how exactly the whole thing should be submitted. Pay attention to the application deadlines here. At technical colleges, this is usually not seen quite so narrowly and you can still move up if a place is free. In most cases, you will have to submit a letter of motivation in addition to the usual documents. Here is a possible example:

Application to a practice site
Your written application is not the only thing that matters when it comes to the internship. Pick up the phone and call the facility manager. Explain who you are and why you are applying to this particular daycare center. I recommend that each of you grab the phone and make a quick call before sending out an application.
So far, I’ve done this with almost every practice setting and we’ve always ended up with me submitting my paperwork by mail and then we hear from each other again. This resulted in 3 commitments at 3 facilities. Success rate 100%. In the first year, on the other hand, calling beforehand was too inconvenient for me and I had a few applications which “came to nothing”. Therefore, do not be afraid and call your desired daycare center directly in advance. But please remember the times ;). I personally would not call on Mondays as well as Fridays.
Be sure to include the following in your application:
- Why are you qualified to be an educator?
- Do you have experience in dealing with children?
- Are you resilient and stress-resistant?

Second case | Application during training
The second case mainly concerns students of technical schools, because PIA graduates have the advantage of the employment contract with the employer. Usually, a daycare or group change is planned there by the employer and you will only be informed about the work assignments. Applying during the training/school period is much easier and usually more successful. After all, you have already “proven yourself” so far and can now score points with further details and documents.
Here’s the next tip: Have your institution copy your practice evaluations or provide you with an additional brief job reference. Up to now, I have always done this by informing the daycare center to mention my supervisor in the cover letter. That has always been fine so far. This usually sounds something like this: …you are also welcome to contact my current supervisor, Ms. Mustermann from the Sonnenschein daycare center…”. Never called before but from later conversations I learned that this text section was another reason for the commitment.
Furthermore, you should not start too late with the applications. December and January are good months to apply for internships. Because the new school year usually comes sooner than you think.
Be sure to include the following in your application:
- What have you learned so far, what can you do?
- Why exactly do you want to go to this facility? Give a professional reason!
- What are you looking forward to at the new facility?

Third case | Application as a state-approved educator
Now you have already made it and since staatl. accredited educator. Are you looking for a new job or do you already have your dream job in mind? Now you can start to make your application really nice and professional.
Be sure to include the following in your application:
- From which pedagogical concept does your
- Why do you want to go to the new concept?
- What kind of experience / training do you have?
- Why do you want to change?
- Why would the daycare center hire you of all people?
How to create a resume as an educator
Along with your cover letter, your resume is an important showcase of your experience. Especially in your resume, as a prospective educator, you can put previous work experience in context with your future educational career. For example, were you closely involved in deadline-critical planning or did you “watch your boss’s back” in the office? This can be super paraphrased as resilient. Especially if you can keep an overview in turbulent moments, this is a good quality for the educator profession. Likewise with customer contact. This can be adapted to communication with colleagues or the children’s parents, keyword parent work.
Computer skills are also a must for educators nowadays and can be a great addition to portfolio work and, depending on the job description, also as an entry requirement. There are different opinions about the length of the resume. In my opinion, this does not play quite such an important role in the pedagogical area of daycare centers. It is much more important, as already mentioned, that you describe your previous experience in a way that fits the advertised position.

Send the application documents properly
After you have written your cover letter for your future educator career and created your resume, you need to somehow package all the documents neatly. To do this, save the cover letter and resume as a PDF file. Then you scan your other documents such as certificates and training courses as PDFs as well. If they are saved as JPG or PNG, it’s not the end of the world. There are free converters on the Internet. Just type “jpg to pdf” into Google.
Now that you have all the documents in PDF form, you need to merge all the individual pages into a single PDF. This is very important, because no one feels like opening umpteen documents one by one. For this you can also search online on Google for “PDF Merge“.
So now you have your application neatly in a single PDF file. Now it’s time for the text of the mail. Do not repeat yourself here, but refer to the phone or personal conversation. The person knows then directly and can assign your e-mail. This pleases every mail recipient. Offer add a signature to your mail with your data so that they are directly accessible. The topic of certificate of good conduct and entries
On the subject of certificate of good conduct, it is important to know that an extended certificate of good conduct must be submitted to the institutions. The reason for this is § 72a SGB VIII in paragraph 1:
(1) The public youth welfare organizations may not employ or place a person for the performance of tasks in child and youth welfare who has been convicted by final judgment of a criminal offense under sections 171, 174 to 174c, 176 to 180a, 181a, 182 to 184g, 184i, 184j, 184k, 184l, 201a (3), sections 225, 232 to 233a, 234, 235 or 236 of the Criminal Code. To this end, they shall, upon recruitment or placement and at regular intervals, obtain from the persons concerned a certificate of good conduct in accordance with Section 30 (5) and Section 30a (1) of the Federal Central Register Act.
This means that, in principle, all persons who come into contact with children must submit such an extended certificate of good conduct. The aim is to ensure that persons sentenced under the above-mentioned paragraphs do not have access to children and adolescents.
Of course, many people wonder how it looks with youth sins. Be it entries after drug or violent crimes, theft or other convictions with the corresponding entries. In principle, these entries remain entered until the expiry of the respective deletion periods. For the extended certificate of good conduct, however, there is a regulation by § 32 para. 2 BZRG. This states that certain and non-child-related punitive measures will not be entered in the extended certificate of good conduct.
Section 39 BZRG remains as an alternative option. According to this, the registration may be omitted in exceptional cases, provided that there is no public interest. As a rule, an exceptional case exists only if the continued inclusion of the registration would represent an undue hardship. This must be credibly demonstrated when the application is submitted. So far it can be stated that “minor” punishments have no influence on the extended certificate of good conduct. Ultimately, in the case of entries, the future office is also responsible for checking on a case-by-case basis whether the previous conviction is at all relevant for the activity. However, there is still a right to ask questions to assess personal suitability if the previous convictions are relevant to the job.
Thus, in my opinion, 99% of prospective educators would not have to worry about any “youth sins.”
