Application as an educator

Are you an educator or are you still training to become an educator and would now like to write an application to become an educator? No problem! Because in this article we will proceed step by step and create a meaningful and serious application with which you will shine as a kindergarten teacher.

One often hears about the shortage of skilled workers and that educators are wanted everywhere. That is absolutely right and true. But if we take a closer look at this statement, it quickly becomes clear that it is unfortunately not that easy. It depends on the region in which you live. Your own interests and pedagogical preferences also play a role. If, as an educator, I am inclined to Waldorf education, job offers with a religious daycare provider probably make little sense. The daycare centers are also always different in terms of management, equipment and employee satisfaction. In addition, there are different salary offers, even with municipal and denominational providers who pay according to the collective agreement. Because here, too, different classifications and allowances are possible depending on the job advertisement.

In short, one can say that there are of course many vacancies as an educator. However, the preferred position is usually fought over by several applications, which is logical and understandable.

How do I write an application?

Let’s jump in straight away and clarify the question of how to write an application. To do this, we have to roughly differentiate between three different scenarios:

  1. Application for training as a kindergarten teacher
  2. Application during training
  3. Application as a state recognized educator

Application for training as a kindergarten teacher

In the first case , we would like to become an educator and are now looking for both a technical school for social pedagogy and an internship for the daycare center. There is also the option of taking the PIA (practice-integrated, remunerated training) path or obtaining a degree by studying early childhood education. They all have in common that an internship is a prerequisite. In this case, you have to deal with two applications at the same time.

At the Fachschule für Sozialpädagogik and the university you usually have to submit a letter of motivation and the usual documents such as curriculum vitae, photo and certificates with which you can prove that you meet the relevant entry requirements.

For the internship, it depends on whether you go the classic educator training path or want to start the practice-integrated training. In the classic way, your, I’ll call it the main contract partner, is the technical college. You will then also receive the internship contract for the internship from them. When you go through the PIA, your internship is your employer and accordingly you conclude an employment contract there.

Students studying early childhood education are a special case. These need an internship in order to collect the necessary practical units. These are usually divided into regular weekdays and several block internships. However, like everything nowadays, this always depends on the respective university.

Application during training / studies

In the second case , you have already started training as an educator and would now like to apply for a position for the final year of recognition or for your first job as a newly qualified, state-approved educator. Often you have to apply to practice facilities several times during the classic apprenticeship. For example, I am completing the educator training part-time and accordingly have to complete three years of school and one year of recognition internship. This means three different internship positions as well as an additional fourth internship position in the event of a further change in the year of recognition. Graduates of the PIA training do not have to complete a year of recognition and therefore apply for advertised kindergarten positions in the third year of training. However, since these applications are very similar to those of the other forms of training, the application process for classic and PIA is summarized here.

Application as a state recognized educator

In the third case you are already a state recognized educator and would now like to apply for a new job as an educator. There is of course the option of applying for an advertised position or an unsolicited application. In this case, it is extremely important to refer to your previous experience and training. In larger cities in particular, skilled workers such as childcare workers are in short supply. Therefore, applications are usually made “pro forma” and most of the things are clarified beforehand in a nice conversation. Nevertheless, as already mentioned above, the “good” and requested daycare centers have corresponding applications on the table and also do not take “everyone”. Accordingly, one should not be naked when it comes to applications and do the whole thing with appropriate care and responsibility. This can be done quickly with the appropriate ideas and suggestions.

We separate these three areas for you throughout this article, so that you can always read at the point that concerns you. From my point of view, the distinction is very important, because depending on your experience and position, you should prepare the application with different focuses. But more on that in a moment.

What do I write in an application as a kindergarten teacher?

Now that we have identified the three possible scenarios, it is of course about the content of the application. After all, we want to get a training position or a place in our dream daycare center. For this we now need numerous documents, which you should now prepare. These would be among others:

  • Passport photo (preferably digitally on the PC)
  • Certificates (certificate of recognition, annual reports, semi-annual reports on training)
  • Interim appraisals, annual appraisals, other professional evidence
  • Evidence of advanced training
  • Additional qualifications
  • Etc.

Of course, your PC shouldn’t be missing either. At the end of the article you will find my templates for download. Use this as a suggestion for your own application or convert it accordingly.

Many of you will now say, wait a minute. You no longer have to add photos and often these are no longer requested. In principle, this is correct, because according to §1 AGG (“Preventing or eliminating discrimination based on race or ethnic origin, gender, religion or belief, disability, age or sexual identity”) are required Application photos unreliable. Nevertheless, I recommend that you include a photo on your résumé. A photo is worth a thousand words and it can be a very good door opener for you. At the latest at the interview you will see each other anyway and we will be honest; We certainly don’t want to work with someone who rejects us because of a photo.

You are currently in school and now want to start training as an educator or you have already been in the world of work and now want to switch to the profession of educator. You may also want to study and get a degree in early childhood education. In these cases, you have to go two ways and apply to two different areas:

Application to a technical school / university

The best thing to do here is to check the website of the institution / university to see what exactly is required of you and how exactly the whole thing should be submitted. Pay attention to the application deadlines. At technical schools this is usually not seen that closely and you can also move up if there is a free space. In addition to the usual documents, you usually have to submit a letter of motivation. Here is a possible example:

Application to a practice facility

At the internship, it’s not just about your written application. Pick up the phone and call facility management. Explain who you are and why you register at this particular daycare center. I recommend each of you to pick up the phone and give a quick call before submitting an application.

So far I have done this with almost every practice facility and in the end we always stayed that way, that I submit my documents by email and we then hear from each other again. This led to 3 commitments in 3 institutions. Success rate 100%. In the first year, on the other hand, it was too inconvenient for me to call beforehand and I had some applications that “didn’t work out”. So don’t be shy and call the day care center of your choice directly in advance. But please think of the times;). I would not call personally on Mondays or Fridays.

  • Do you have experience in dealing with children?
  • Are you resilient and stress-resistant?

Second case | Application during training

The second case mainly affects students in technical schools, because PIA graduates have the advantage of having an employment contract with their employer. Usually a daycare or group change is planned there by the employer and you will only be informed about the work assignments. The applications during the apprenticeship / school time are much easier and usually more successful. After all, you have already “proven” and can now score points with additional information and documents.

Here’s the next tip : Have your institution copy the practical assessments or issue an additional short reference. I myself have always stayed that way so far that I have informed the daycare center to mention my supervisor in the cover letter. That was always okay so far. It usually sounds something like this: … You are also welcome to contact my current supervisor, Ms. Mustermann from the Sunshine Daycare … “. So far there has never been a call, but I learned from later conversations that this section of text was another reason for the acceptance.

Furthermore, you should not start your applications too late. December and January are good months for applications for internships. Because the new school year usually comes faster than you think.

Pay attention to the following content when applying:

  • What have you learned so far, what can you do?
  • Why do you want to go to this facility? Justify professionally !
  • What are you looking forward to in the new facility?

Third case | Application as a state-approved educator

Now you’ve already made it and since state recognized educator. Are you looking for a new job or do you already have your dream job in mind? Now it starts and you can make your application really professional.

Pay attention to the following content when applying:

  • What educational concept do you come from?
  • Why do you want to go to the new concept?
  • What kind of experience / further training do you have?
  • Why do you want to change?
  • Why should the daycare center hire you?

As a kindergarten teacher, how do I create a résumé

In addition to the cover letter, the résumé is an important figurehead of your experience. In the curriculum vitae, in particular, as a future educator, you can put previous professional experience in the context of your future educational career. For example, were you closely involved in time-critical planning or did your boss “keep your back” in the office? This can be described as resilient. Especially if you keep track of things in turbulent moments, this is a good quality for the educator profession. Likewise with customer contact. This can be derived from communication with colleagues or the parents of the children, keyword parental work.

IT skills are also a must nowadays for educators and can be brought in great on the subject of portfolio work and, depending on the job advertisement, also as a prerequisite for entry. There are different opinions about the length of the résumé. In my opinion, this does not play a very important role in the pedagogical area of daycare centers. As already mentioned, it is much more important that you describe your previous experience in a way that fits the advertised position.

Send the application documents properly

After you’ve written your cover letter for your future educator career and created your résumé, you have to somehow properly pack all the documents. For this purpose, save the cover letter and the curriculum vitae as a PDF file. Then you scan your other documents such as certificates and training courses also as PDF. If these are saved as JPG or PNG, this is not the end of the world. There are free converters on the Internet. Simply enter ” jpg to pdf ” on Google.

After you have all the documents in PDF form, you now have to merge all the individual pages into a single PDF . This is very important because nobody wants to open tens of documents individually. To do this, you can also search for ” Merge PDF ” online on Google.

So now you have your application neatly in one single PDF file. Now it goes to the text of the mail. Do not repeat yourself here, but refer to the telephone or personal conversation. The person will then know immediately and can assign your email. That pleases every mail recipient. Offer adds a signature to your email with your data so that they can be reached directly. The subject of certificate of good conduct and entries

When it comes to the subject of a certificate of good conduct, it is important to know that the institutions must be presented with an extended certificate of good conduct. The reason for this is § 72a SGB VIII in paragraph 1:

(1) The public youth welfare agencies may not employ or mediate any person for the performance of their duties in child and youth welfare who is legally valid for a criminal offense under sections 171, 174 to 174c, 176 to 180a, 181a, 182 to 184g , 184i, 184j, 184k, 184l, 201a Paragraph 3, Sections 225, 232 to 233a, 234, 235 or 236 of the Criminal Code. For this purpose, they should obtain a certificate of good conduct pursuant to Section 30 (5) and Section 30a (1) of the Federal Central Register Act from the persons concerned when hiring or placing them at regular intervals.

This means that in principle all people who come into contact with children must present such an extended certificate of good conduct. The aim is that persons convicted according to the above-mentioned paragraphs do not have access to children and young people.

Many questions, of course, how it looks with youthful sins. Be it entries after drug or violent crimes, theft or other convictions with the corresponding entries. In principle, these entries remain entered until the respective deletion deadlines have expired. For the extended certificate of good conduct, however, there is a regulation in Section 32 Para. 2 BZRG. This states that certain and non-child-related punitive measures are not entered in the extended certificate of good conduct.

As an alternative option, § 39 BZRG remains. According to this, the entry can be omitted in exceptional cases if there is no public interest. As a rule, an exceptional case is only given if the further inclusion of the entry would constitute undue hardship. This must be credibly demonstrated when submitting the application. So far it can be stated that “minor” penalties have no influence on the extended certificate of good conduct. Ultimately, the future position is also responsible for checking on a case-by-case basis as to whether the criminal record is relevant for the job at all. However, there is still a right to ask questions to assess personal suitability if the previous convictions are relevant to the job.

Thus, in my opinion, 99% of the future educators do not have to worry about any “sins of youth”.
